We're looking for a sharp, organised, and proactive Philanthropy Coordinator to join our Operations team and help power the relationships and systems that fund our mission.
This role sits at the heart of BZE's fundraising operation. You'll ensure that our CEO always walks into donor conversations well-briefed, our CRM stays accurate and current, our stewardship is warm and timely, and our grant applications are submitted on time and to a high standard.
It's a role for someone who takes quiet pride in doing things well — who sees a well-maintained pipeline or a perfectly crafted thank-you letter as meaningful contributions to the climate cause.
This is a full-time, hybrid position based in Melbourne.
(Other Australian East Coast locations will be considered and are welcome to apply).
What you'll be doing
- Managing and maintaining our major donor prospect pipeline (HubSpot CRM) as the single source of truth
- Chairing fortnightly fundraising meetings and keeping the team accountable to actions
- Drafting donor correspondence and CEO briefings — including writing in someone else's voice
- Managing the donations inbox and giving platforms (Raisely, GiveNow, Good2Give); ensuring clean data flows through to Xero and HubSpot
- Researching priority prospects and preparing background briefs ahead of meetings
- Identifying, tracking, and coordinating grant applications and acquittals end-to-end
- Producing regular reports on fundraising activity and tracking progress against our annual calendar

Who we're looking for
- Someone with 2+ years in fundraising, executive support, grants coordination, or a similar administrative role — NFP experience valued
- A confident CRM user who keeps data clean and current (HubSpot experience welcome)
- A strong writer who can draft professional correspondence and adapt naturally to different tones and audiences
- A researcher who can get up to speed on a prospect's philanthropic history and connections quickly
- Someone who is deeply organised — the kind of person who builds systems others can rely on
- A self-starter who anticipates what's needed and manages up without being asked
- Someone genuinely committed to BZE's mission and curious about climate policy and action
