Beyond Zero Emissions Inc. (“BZE”) is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that can reasonably be used to identify an individual. Examples of Personal Information we may collect includes: names, addresses, email addresses, phone numbers and other personal information you may provide us in emails, letters, employment applications, employment records, and in documents such as CVs and resumes, including through your use of our website.

For example, you may choose to provide us with personal information if you subscribe to our newsletter, make enquiries via post, e-mail or through conversations with our representatives in person or over the telephone, register for an event, register interest in volunteering or accept a volunteer role. You have the option of remaining anonymous in your dealings with us, however doing so may mean that we will not be able to respond to your enquiries or provide you with the services or opportunities you requested.

BZE collects personal information in order to understand the type of information and activity you may choose to participate in when engaging with BZE’s website content, social networks, eNews and other services. This helps us to provide a better service, ensure content is relevant and improve how and when we communicate with you. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.

Cookies and tags

We also collect some technical information automatically when you visit our website www.bze.org.au by using cookies (such as tags) and analysis tools provided by third-party vendors such as Google Analytics and Google Ads. The information we collect using these cookies and tags is in an anonymous and aggregated form (and which we cannot use to reasonably identify you) and includes information such as the number, date and timing of visits to our website and the pages of the website visited frequently and other similar website traffic patterns. This information is not personal information and collected for statistical purposes, and in order for us to measure the success and effectiveness of our website and to improve the user experience of our website and our services. You can set your web browser so that it does accept or store cookies, and you may also use your web browser settings to clear any cookies from our website.

Sensitive Information

Sensitive Information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

We will only collect Sensitive Information from you with your consent, and only in circumstances where it is necessary for us to do so in order to provide our services. Further, we will only use your Sensitive Information for the primary purpose for which it was collected (or directly related secondary purposes), or if we have your consent or are required by law to do so.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party. For example, in some cases we may receive your personal information from a referee or your previous employer when considering your application for employment or a volunteer role.

Disclosure of Personal Information

Your personal information will not be shared, sold, rented or disclosed other than as described in this Privacy Policy. We may disclose your Personal Information in the following circumstances:
• to our employees, related bodies corporate, contractors or service providers for the purposes of operation of our website or our business, fulfilling requests by you, and to otherwise provide products and services to you including, without limitation, web hosting providers, IT systems administrators, mailing houses, couriers, payment processors, data entry service providers, electronic network administrators, debt collectors, and professional advisors such as accountants, solicitors, business advisors and consultants;
• to any organisation for any authorised purpose with your express consent; and
• where the disclosure is required or authorised by law.

Sometimes we use third party platforms and services to store and analyse data and information, send messages, or to otherwise provide services to us in relation to the purpose for which the information was collected. Some of these services are hosted and managed by organisations other than ourselves. We mainly use products and services maintained in Australia and the United States.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.

While BZE takes reasonable precautions to protect the information it holds from unauthorised use, including the use of commercially available technologies for the security of its information systems, the nature of the internet is such that the security of information cannot be guaranteed and we cannot provide any absolute assurance regarding the security of transmission of information you communicate to us online. We also cannot guarantee that the information you supply will not be intercepted while being transmitted over the internet. Accordingly, any personal information or other information which you transmit to us online is transmitted at your own risk.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing (we set out our contact information below and on our website).

Beyond Zero Emissions will not charge any fee for your access request but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.

We request that complaints about breaches of privacy be made in writing, so we can be sure about the details of the complaint. We will attempt to confirm as appropriate and necessary with you your understanding of the conduct relevant to the complaint and what you expect as an outcome. We will inform you whether we will conduct an investigation, the name, title, and contact details of the investigating officer and the estimated completion date for the investigation process.

After we have completed our enquiries, we will contact you, usually in writing, to advise the outcome and invite a response to our conclusions about the complaint. If we receive a response from you, we will assess it and advise if we have changed our view.
